Printing system upgrade" project
Smooth processes are essential and a matter of course for banking institutions! 3 Banken IT ensures this for the 3 Banken Group by providing stable and high-performance IT systems and servicing a total of more than 255 branches, 1.55 million accounts and over 3 billion transactions per year. A print system consisting of several components is used to create and send documents. The system was previously designed in such a way that the components were closely linked to each other. This solution met all requirements, but over time it became apparent that there was a need for improvement in production. There were long processing times and instabilities in the formatting process with large volumes of data. Some functions such as cross-application production and postage optimization, insert control, etc. could not be mapped.
Docolution solution concept
Docolution was commissioned to analyze the existing systems, processes and documents and developed a solution concept with several proposals. From this, the introduction of an output management system (OMS) including pooling was selected and implemented. "Pooling" here refers to the technology of collecting documents from different applications and preparing them according to their intended use. Production requirements such as archiving, electronic delivery, paper, envelopes, inserts, print jobs, etc. are only mapped once in the pool. This means that documents from all areas such as classic batch jobs, serial letters, individual correspondence, marketing etc. can be fed into the cost-effective and audit-proof production process. To stabilize and accelerate the processing procedure, it has been completely reorganized. Instead of serial document generation from large batch files, many individual files are now created in parallel (single record process) and the generated documents are immediately placed in the pool. Document formatting now only has to take care of formatting. This has stabilized and accelerated this process step. Furthermore, documents are now only generated once, regardless of the target format. The OMS converts the documents into different target formats with significantly fewer resources and in less time than the formatter needed to create them multiple times.
Advantages of the new process
The new process also offers the advantage of decoupling IT production from print production via the pool as an interface. Further processing takes place in the OMS according to the time and technical specifications of the production department for printing and dispatch. Another benefit is the cross-application production and postage optimization. Letters to the same recipient are merged from the print pool - according to defined rules - into one envelope. Both electronic and physical inserts can be added to envelopes using central insert management. The decisive factor is the maximum number of sheets per envelope and the corresponding weight of the letter. This means that optional inserts can be added without incurring postage costs. It goes without saying that the OMS features seamless consignment tracking, including fully automatic reprinting if a consignment is damaged during printing or inserting ("closed loop" technology). For this purpose, a unique consignment identification is applied to each document using control codes for the inserting system and tracked until it is posted.
